Financial & Insurance Policy
Our approach to transparency
We review recommended treatment and related fees with you before care begins. Written estimates are available and reflect information from your exam and, if applicable, your insurance at the time prepared.
Payment

Payment is due at the time of service unless other arrangements have been made in advance.

Accepted methods: cash, major credit and debit cards, HSA/FSA cards, and approved third-party financing (for example, CareCredit) if offered.

A deposit may be required to reserve extended or specialty procedures. Deposits are applied to your balance on the day of service.
Insurance

We work with many insurance plans and will submit claims as a courtesy.

Pre-authorizations and benefits checks are estimates, not guarantees of payment.

You are responsible for co-pays, deductibles, non-covered services, and any portion your plan does not pay.

If your plan pays you directly, you agree to forward those payments to us.

Out-of-network benefits vary. We are happy to provide a detailed “superbill” upon request.
Membership or in-house plans (if applicable)
If we offer a membership plan, its terms are provided separately and do not constitute insurance. Discounts cannot be combined unless stated.
Statements and past-due balances
We provide clear statements for any remaining balance after insurance. Balances not paid within 30 days may incur a late fee or interest where permitted by law. Returned payments may incur a bank fee.
Refunds and product purchases

Fees for services already rendered are not refundable. If a treatment is canceled before it begins, deposits may be refunded or applied to future care according to our cancellation policy.

Retail product returns are accepted in unopened, resaleable condition within 14 days with receipt, unless otherwise noted for safety or hygiene.

Cancellation & Appointment Policy
Respecting everyone’s time
We reserve your appointment exclusively for you and prepare the room, materials, and team in advance. In return, we ask for timely notice of changes.
Notice window
• Standard appointments: please provide at least 24 hours’ notice to cancel or reschedule.
• Extended appointments (90 minutes or more) and specialty procedures: 48 hours’ notice is requested.
• Late cancellations or missed appointments may be subject to a cancellation fee or forfeiture of a deposit if one was required.
Late arrivals
If you arrive late, we will do our best to complete your visit. To respect other patients’ schedules, we may need to shorten or reschedule the appointment after a 10-minute grace period.
How to cancel or reschedule
Use the link in your confirmation message, the patient portal, or contact us at 949-325-3865 or hello@resetdentalstudio.com. Messages received outside business hours are timestamped to the time received.
Confirmations
We send reminders by email or text 48–24 hours before your visit. Confirming helps us hold your time. You may opt out of reminders, but the cancellation policy still applies.
Illness and emergencies
If you are ill, have had a recent fever, or have a contagious condition, please contact us to reschedule. In true emergencies or severe weather, fees are typically waived.
Repeated missed appointments
Multiple missed or late-canceled appointments may require a prepaid deposit to reserve future time.
Minors
A parent or legal guardian must be present for the first visit and for any appointment requiring consent, unless otherwise permitted by law.
New Clients
We are honored you chose Reset. Your first visit is designed to be calm, thorough, and tailored to you.
Before you arrive
• Complete the new patient forms sent via secure link.
• Share your current medications, allergies, and medical conditions.
• Provide your dental insurance details if you will be using a plan.
• If you have recent x-rays (taken within 12–18 months), ask your previous provider to send them to us before your appointment.
What to bring
A photo ID, insurance card (if applicable), a list of medications, previous x-rays or records if available, and any oral appliances you use.
Your first visit
• A comprehensive exam that may include x-rays and intraoral photos.
• A conversation about your goals, comfort preferences, and questions.
• A preventive cleaning at the first visit whenever clinically appropriate. If periodontal needs are identified, we will discuss a phased care plan instead of a routine cleaning.
• A transparent treatment plan with options, timing, and costs.
X-rays and imaging
We take x-rays only when clinically necessary. They help us diagnose concerns that cannot be seen otherwise and are taken with modern, low-dose equipment.
Accessibility and accommodations
Please tell us if you need language assistance, mobility support, sensory accommodations, or a quieter appointment block. We will make every effort to support you.
Financials and insurance
We review estimated costs and benefits before care begins. Co-pays and any non-covered services are due at the time of service. See our Financial & Insurance Policy for details.
Records and privacy
You may request copies of your records and x-rays at any time. We protect your information as described in our Privacy Policy and Notice of Privacy Practices.
